Médecins Sans Frontières (MSF) is an independent, medical, emergency relief organisation that provides assistance to people worldwide, regardless of their background, religion or political convictions. Above all, we aim to save lives and to offer medical care to victims of disasters, wars and epidemics. Working together with local staff, we give direct support to the population. MSF also appeals to those in power, including governments and international organisations, and speaks out about the abuses we encounter in the course of our work. The Dutch organisation 'Artsen zonder Grenzen' (MSF-Holland) is a member of the international organisation 'Médecins Sans Frontières'.

MSF Operational Centre Amsterdam (OCA) currently operates medical humanitarian interventions in 25 countries. On a yearly basis MSF-Holland deploys over 800 international staff and employs approximately 6000 national staff. At headquarters in Amsterdam, approximately 170 employees offer their support to the projects.

OSCAR is a working group which brings together relevant expertise from across the OCA in order to support Operations in the areas of Communications, Advocacy and Reflection. OSCAR is made up of the Humanitarian Affairs and Operational Communications teams and the London-based Programme Unit. The core responsibilities of OSCAR can be broken down into five areas:

• Support to Operations (field & desk)

• Institutional reflection in key areas

• Support to the image, visibility and perceptions of MSF

• Organizational development

• Engagement with external actors

With immediate effect MSF OCA has a vacancy for the position of a

Officer Information Management (100%)

Project position for 3 months, based in Amsterdam

OVERALL OBJECTIVE

• Develop a system to organise and make existing OSCAR-owned resource materials accessible to OCA staff in HQ and the field

• Determine all materials for inclusion

• Liaise with system implementer to ensure all necessary decisions are taken and criteria met for implementation to proceed

DESCRIPTION OF TASKS

System

• Research existing and planned systems for information organisation and sharing within MSF (e.g. SharePoint) in order to understand current opportunities, capabilities, protocols and compatibility issues

• Propose categories for organising OSCAR material (e.g. type of document, list of themes or topic areas)

• Develop proposal for organisation and sharing of OSCAR materials

• (In Amsterdam) Determine best system for organising different hard copy materials in OSCAR (OSCAR library)

Materials

• Create inventory of OSCAR resources (i.e. search archives, library, HAD thematic binders, consult G drive, discuss with OSCAR team members, etc.)

• Catalogue, code and describe selected OSCAR resources according to SharePoint protocols since OCA is migrating to this system

• Organise materials according to agreed upon system

• If necessary, create separate resource targeted specifically at the field (e.g. CD ROM)

• Determine best standards for briefing binders and update all according to this model

• Ensure briefing binders available in all relevant offices and develop system to keep them updated

PROFILE

We are looking for an enthusiastic flexible candidate with a higher vocational education and at least two years of proven experience in projects related to information management (e.g. electronic archiving). You are highly organized, have good computer skills and experience with MS applications. You will liaise with the SharePoint Officer of MSF's ICT department (experience with SharePoint is an advantage).

You have the capacity to think conceptually and have demonstrated that you can put ideas into practice. Excellent communicative skills and knowledge of the English language is necessary (both in word and in writing).

Experience with the humanitarian work of MSF-Holland is an advantage for this position.

WE ARE OFFERING

• A contract for three months with a full-time appointment based on 5 days per week.

• A gross salary in scale 5 of a minimum of € 2.147 and a maximum of € 3.068 per month, based on relevant work experience, for full-time employment (based on a 40-hour week).
